Searching SIMS for Cost Center Spaces

Topic:

This article demonstrates how to run a basic and advanced search for spaces assigned to a specific cost center. See the SIMS User Guide for other instructional SIMS articles.

There are two common methods of searching for spaces assigned to a specific Cost Center:

Basic Search

The basic search is best option for the vast majority of users.  Aside from a very small subset of spaces, it will return all the space records you would expect.  Its one limitation is that it can only provide a single space record in the results. This only becomes a problem for spaces that have more than one Cost Center assigned.  These spaces represent a very small fraction of the spaces in SIMS, a few hundred out of the 117,000+ in the system.  In this situation the results will include the text *varies* in the Cost Center and CCH7 fields and thus will not be included when filtering on a specific Cost Center.  If you need to ensure you are getting a complete picture of every space assigned to a Cost Center, you should consider using the Advanced Search method.

  1. Open the Hamburger Menu
  2. Select the Space module
  3. Select the Space tab
  4. Open the Filters panel
  5. Change one of the filters to "Cost Center" or
  6. Change one of the filters to "CCH7"
  7. Hit Apply
* If you are not familiar with the new Cost Center and CCH7 terminology that was implemented as part of the Workday transition, you can find details about how the old Org/Department/College terminology was translated in the Org to Cost Center Conversion in SIMS article.

Advanced Search

When running an advanced search through Dynamic Spreadsheets, one major consideration should be taken into account.  The Dynamic Spreadsheets results will include a record for each Cost Center assigned to a space.  This is advantageous when needing to know the Cost Center assignments for space with more than one Cost Center, but it should be noted that the record will include the full square foot Area in each record.  When exporting this data ensure that you are also including the Allocation % field and during your analysis, multiplying the Area field by the Allocation % field to get the allocated area for those Cost Centers sharing space.

  1. Open the Hamburger Menu
  2. Select the Reporting module
  3. Select the Dynamic Spreadsheets tab
  4. Open the Filters panel
  5. Change one of the filters to "Cost Center Name", "Cost Center Number", "CCH7", "CCH6", "CCH5", or "CCH4"
  6. Enter the value to are searching for
  7. Hit Apply
