List of potential changes to look out for during a building audit to submit to the architectural team. Generally, look for discrepancies between the floor plans and what is actually present in the physical space.
Potential Updates
A. Space Creation/Deletion
These updates may warrant the creation, merge, or deletion of space(s).
- rooms that exist on the floor plan but not in the physical space or vice versa
- new office workstations/cubes (minimum of 4 to split) or removed workstations (delete or merge); if new walls/doors have been put up to form an enclosed space, that may warrant a new room creation
- wrong room signs (check if any other rooms use this number; sometimes we will change SIMS to match the physical sign even if it does not match our standards)
- if a room has multiple entrances, take photos of all doors to show signage or lack of signage
- missing cages generally found in mechanical rooms, stairwells, or storage spaces (often separated into new spaces)
- spaces that are unmarked in SIMS but walkable (e.g. you may take note of unlabeled mechanical spaces even if they are potentially pipe chases) and vice versa (marked but not walkable)
- if a space within a larger space needs a different function, potentially ask to split the space
- small closets do not necessarily warrant a split; if it does not split, still request for door to be drawn in if missing
- reception desks may be split from large circulation spaces
B. Plumbing
These updates relate to fixtures drawn in green on the floor plans.
- missing/non-existent/misplaced:
- mop sinks/hand sinks (common in janitor closets and kitchenettes respectively)
- water fountains/bottle fillers (usually in hallways/lobbies)
- emergency showers and eyewashes (usually in labs or sometimes hallways)
- restrooms if they have:
- missing ADA toilet stall grab bars
- wrong number of sinks, stalls, or urinals
- misrepresented sinks (e.g. wall-mounted vs in a counter)
- missing/non-existent dividers between urinals
C. Furniture
These updates concern furniture (drawn in gray) or built-in furnishings (drawn in red).
- furniture such as tables, chairs, or sofas may need to be added or updated if the space falls into the following categories:
- classrooms/teaching spaces
- conference/meeting rooms
- lounges/breakrooms
- study and reading areas
- recreation
- if a large office area has changed its layout
- furniture may be removed if the new room type does not need furniture drawn (e.g. conference room became a personal office)
- add missing lockers (only if large, many, and seemingly long-term)
- missing/non-existent/misplaced casework (built in cabinets/counters, lab tables)
- in older buildings, sinks may be drawn in but the counters they are built into are often missing
D. General Architectural
These updates concern fixed architectural components.
- missing/non-existent/misplaced:
- columns/pillars
- windows
- louvers (represented similar to windows)
- reception windows/openings (where counters stick out)
- wrong door swings (inward/outward) or hinge pivot (left/right) (common for toilet stalls); wrong door type (e.g. single vs double)
- if recurring in medical/research spaces, add missing curtains (if curtain tracks are built into the ceiling) or hospital beds
- missing stepladders to mezzanines, roof hatches, or mechanical rooms on a higher floor
- missing guard railings (e.g. in staircases)
- unlabeled ramps (should have an arrow on drawing to show direction of ramp)
- simple drawing mistakes (strange overlaps between door and wall, missing room number text, missing elevator lines, plumbing shown where it should not, etc.)
E. “Blockage”
These updates concern anything that physically affects one's ability to enter/exit an area.
- missing/non-existent/misplaced doors or wall openings
- chase doors may be missing (doors can be represented even if it is not a space)
- shelving if it creates aisles (rare – usually in merchandising, library/stack, or central storage spaces)
- differing room shape (e.g. wall/pillar extends further in real life, wall juts, strange corners, if room size has grown/shrunk from a renovation)
Post-Updates
After the ticket has been submitted to the architectural team in Smartsheet, wait for the ticket to come back to the Data Team once they have implemented the updates (this will be the case if new spaces are created). By checking snapshots from the most recent month (go to Teams channel for FITS - Data Services > Shared > General > download the most recent snapshot and use your local copy) as well as checking the spaces around it in SIMS, add room data to the new spaces as well as the Assignment Number (FITS number from Smartsheet) and Effective Date (the date you are updating). Verify the data for the surrounding spaces if workstations have been broken out; the main space will need to be changed to circulation and have capacity lowered to 0. Check the waiting folder in Photos to Import to see if any photos need to be added to the new spaces. You may also potentially need to move photos from the surrounding spaces. Let full time data staff add Cost Center data.
